Our privacy commitment
Phoenix Accounting Services Ltd., Chartered Professional Accountant, operating as Finexa CPA Advisory ("Finexa," "we," "us," or "our"), is responsible for personal information under its control. We aim to collect, use, disclose, retain, and protect personal information in a manner consistent with applicable Canadian privacy requirements, including British Columbia's Personal Information Protection Act where it applies.
Our Privacy Officer is responsible for privacy compliance and questions about this policy.
Information we may collect
Information you provide
We may receive information that you choose to provide when you email or call us, request or schedule a consultation, correspond with us, or become a client. Depending on the interaction, this may include your name, contact details, company, role, scheduling information, and the business or finance issue you describe.
Website and technical information
Like most websites, our hosting and security providers may process basic technical information needed to deliver and protect the site, such as IP address, browser type, device information, requested pages, date and time, and security logs.
Interactive assessments
The homepage Finance Health Check and the article assessment tools run in your browser. Your answers and results are not submitted to Finexa by the assessments themselves.
Why we use personal information
We may use personal information for purposes a reasonable person would consider appropriate in the circumstances, including to:
- respond to questions and consultation requests;
- schedule and prepare for meetings;
- assess whether our services may be suitable;
- provide professional services under an agreed engagement;
- communicate about an existing or potential engagement;
- maintain business, professional, security, and legal records;
- protect the website, our systems, clients, and the public; and
- meet applicable professional, regulatory, legal, insurance, and record-retention obligations.
Submitting an inquiry does not create a client relationship. If you become a client, the engagement terms and additional professional confidentiality and record-handling requirements will also apply.
Consent and limiting collection
We seek consent where required and limit collection to information reasonably needed for the identified purpose. Please do not send tax returns, financial statements, identification documents, banking details, passwords, or other sensitive records through an ordinary website inquiry or unencrypted email unless Finexa has provided an appropriate secure method and requested the information.
You may withdraw consent, subject to reasonable notice and legal, regulatory, professional, contractual, or record-retention requirements. Withdrawal may affect our ability to respond or provide services.
When information may be shared
We do not sell personal information. We may disclose information only as reasonably required for the purpose it was collected or as otherwise permitted or required, including to:
- technology, hosting, scheduling, communications, security, storage, and professional service providers supporting our operations;
- other advisors or specialists when you authorize or direct coordination;
- regulators, professional bodies, insurers, courts, law enforcement, tax authorities, or other parties where permitted or required by law or professional obligations; and
- a successor organization in connection with a proposed business transaction, subject to appropriate safeguards and legal requirements.
Some service providers may process information outside British Columbia or Canada. Information in another jurisdiction may be subject to the laws and lawful access processes of that jurisdiction.
Third-party services and links
This website loads Google Fonts and includes links to Microsoft Bookings, LinkedIn, telephone, and email services. When you load a third-party resource or follow an external link, that provider may receive technical information and will handle information under its own terms and privacy policy. Finexa does not control third-party websites.
The current website does not intentionally use advertising cookies or behavioural advertising. If Finexa introduces material analytics, advertising, or new collection practices, this policy should be updated to describe them.
Safeguards and retention
We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information. No internet transmission, email service, or electronic storage method is completely secure, and absolute security cannot be guaranteed.
We retain personal information only as long as reasonably needed for the identified purpose and applicable legal, professional, insurance, security, and record-retention requirements. Information is then securely destroyed, deleted, or anonymized where appropriate.
Access, correction, and questions
You may request access to personal information under our control or ask us to correct information that is inaccurate, subject to applicable exceptions. We may need to verify your identity before responding.
